Interlibrary Loan Policies and Procedures

General Information:

The Interlibrary Loan Office fills requests for books, journal articles, and other publications which are not available at MCPHS by participating in various library consortia, and by purchasing material from non-consortia libraries and from commercial document suppliers. We can also obtain articles from the Countway Library of Medicine ( Harvard University ), if the journal is readily available there. Each week day, student workers will go to the Countway Library and make photocopies of requested articles. Most requests will be filled within 72 hours.

Manchester and Worcester patrons may also request books and articles located in the Boston Library by completing an ILL form. Barring unusual circumstances, articles will be emailed to you within 24 hours. Books will be sent by mail or delivery service.

A maximum of 3 requests per business day per person will be added to the system. Any extra requests will be held in a pending file and added at the rate of 3 per day, up to 10 requests per week.

Procedures:
  • Check the Online Catalog to ascertain whether the item you want is owned by MCPHS.
  • Complete an Interlibrary Loan Request form. This form is available electronically. It is also available in print in the Boston Henrietta DeBenedictis Library.
Fees:
  • There is no charge to request an item, and we are able to obtain most requested items free of charge. If we cannot obtain the item free of charge, we will contact you by e-mail. The minimum fee charged by most libraries is $12.00.
  • Any fees incurred for overdue or damaged items are the responsibility of the requester.
Problems:

Communication concerning problems with requests will be conducted through email. It is essential that we have your active email address for rapid communication. In order to expedite this process, please check your email frequently. We will contact you before sending any request which may incur a charge. Barring unusual circumstances, all requests are processed within 48 hours. You will receive an e-mail if there is a problem filling your request.

Articles:

Barring unusual circumstances, all articles will be e-mailed to patrons. We receive the majority of articles within three BUSINESS days.

Books:

You will receive an e-mail when the book you requested arrives. Students should pick up all books at the Circulation Desk in their library. Books for faculty and staff will be delivered through inter-office mail. Please remember to return the book to the library by the date it is due. If you need to renew the book, please contact the Interlibrary Loan coordinator, Susan S. Mahnken ( Susan.Mahnken@mcphs.edu ) at least four days before the due date.

NOTICE CONCERNING COPYRIGHT RESTRICTIONS:
The copyright law of the United States (Title 17, US Code) governs the making of photocopies or other reproductions of copyrighted materials. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of the specified conditions is that the photocopy is not to be used for "any purposes other than private study, scholarship or research."
